Alphabetical by last name is the order guests expect at the door — but the details (prefixes, hyphens, couples, titles) are where DIY charts go wrong. Here are the rules the automatic sorter applies.

The last-name rules that trip couples up

Sorting a guest list alphabetically sounds trivial until the list is real. Four cases cover almost every head-scratcher. Titles are ignored for sorting: “Dr.”, “Judge”, and “Aunt” never move a name. Hyphenated surnames file under their first part — “Dr. Jane Doe-Smith” belongs in the Ds. Married couples written as “Mr. and Mrs. Alan Lee” sort under the shared surname, L. Couples with different surnames stay on one line — “Sarah Adams & Tom Smith” sorts under the first-listed name, A, and both guests are found together. The convention keeps partners adjacent on the board, which is exactly how guests look for them.

Prefixes: van, von, de, der

Lowercase surname particles are the classic edge case, and different countries file them differently. SortaSeat follows the convention most US stationers and wedding planners use: the particle is part of the sort key, so “Ann van der Berg” appears in the V section. Dutch and Belgian guests will recognize the style from their own phone books; German guests may look under B. Either way, consistency across the whole chart is what makes it scannable — and one rule applied everywhere beats a perfect rule applied halfway.

Why alphabetical beats table-number order at the door

The alternative to an alphabetical board is a table-numbered chart: Table 1 — Anna Baker, Chris Cole… Table 2 — and so on. That format asks 150 guests to read fifteen mini-lists to find their own name, in the exact spot where a queue forms. The alphabetical chart inverts the search: one scan of the A–Z board, one table number, done. For receptions under about 40 guests the difference barely matters; at 80+ it is the single biggest usability decision in the whole seating plan — which is why the A–Z poster, not the table map, is what most venues see at the door.

Checking the final list before print

The sort is only as good as the list behind it, so run one last pass before the poster goes to the shop. Read every name aloud against the invitations — hearing catches the “Rebecca/Becky” duplicates that eyes slide past. Confirm plus-ones are spelled the way they introduced themselves, not the way a hurried RSVP typed them. Check that divorced and remarried guests appear under the name their friends will scan for, which is not always the legal one. Count the total against the caterer’s final headcount: a one-name gap almost always means a paste went wrong, and the chart is the cheapest place to find it. Then freeze the file. Every change after the freeze costs a reprint, so the freeze — not the print — is the real deadline, and it belongs about a week before the wedding.

Common questions

Are titles and degrees really ignored?

Yes — “Dr.”, “Rev.”, and honorifics do not affect placement. “Dr. Jane Doe-Smith” files under D, next to every other Doe and Doe-Smith.

How are two guests with the same last name ordered?

By first name within the surname group — so the Baker family appears in a predictable, alphabetical block.

Can I sort by first name instead?

The tool follows the last-name convention because that is what wedding guests are trained to scan. First-name order slows every lookup at the board.

What if a name is spelled two different ways on the list?

The chart prints what you paste, so run a spell-check pass before the final print — reading the printed list aloud against your invitations catches duplicates and typos fastest.
